purchase to completion.
Below is a list of the things that are the roles and
responsibilities of Absolute Asia Pacific to your project:
- Work with Owner to establish optimal procedure
for selecting full project team and their responsibilities
- Develop "short-lists" of consultants/individuals,
based on reputation, specialty, and due-diligence reference review that
maybe needed
- Review fee proposals, develop comparative matrix
with ranking and recommendations for other firms in the field
- Work with Owner to prepare contracts
- Coordinate contract review and acceptance by all
parties
- Develop schedules of deliverables
- Review invoices
- Provide "constructability" review of design.
Site Selection:
- Work with Owner to review and compare potential
footprint changes of the villas on each plot after site has been marked
out
Legal Review:
- Work with Owner and Owner's Attorney to review
issues in leases/villa purchase contracts
- Coordinate contractor contracts to assure
coordination with lease/villas purchase agreements
Contractor Selection:
- Work with Owner to establish optimal procedure
for selecting contractor
- Develop "short-lists" of contractors, based on
reputation, specialty, and due-diligence reference review
- Accept questions during bid process from
contractors, architects, structural engineers and coordinate written
response
- Review contractor fee proposals, develop
comparative matrix with ranking and recommendations for contractors
- Work with Owner to prepare contractor contracts
- Coordinate contract review and acceptance by all
parties
Budget Analysis and Control:
- Work with Owners to establish initial project
budget
- Work with Owner and contractor to verify project
budget at agreed-upon project benchmarks (example :Schematic Design,
Design Development, 50% Construction Documents, 100% Construction
Documents)
- Work with Owner and contractor to reduce scope
and/or value engineer project as required to keep project within
agreed-upon budget
Schedule Analysis and Control:
- Work with Owner and contractor to establish
initial project schedule
- Work with Owner and contractor to verify project
schedule at agreed-upon project benchmarks (example :Schematic Design,
Design Development, 50% Construction Documents, 100% Construction
Documents)
- Work with Owner and contractor to verify project
schedule at agreed-upon project benchmarks (example :Schematic Design,
Design Development, 50% Construction Documents, 100% Construction
Documents, and on a weekly basis during construction)
- Work with Owner and contractor to reduce scope
and/or value engineer project as required to keep project within
agreed-upon schedule
Construction:
- Develop schedules of contractor deliverables
- Track project budget and schedule on a regular
basis
- Hold project meetings during construction on a
regular basis, issue minutes of meeting
- Monitor and expedite the shop drawing approval
process
- Review items of change and change orders
including Contractors' proposals, changes in quantity, contract time and
price
- Review contractor applications for payment
- Maintain a central control file of design,
engineering, and construction contracts, correspondence reports, and
change orders
Furniture Procurement:
- Work with Owner to establish optimal procedure
for selecting furniture
- Develop "short-lists" of furniture manufacturers
and vendors, based on reputation, specialty, and due-diligence reference
review
- Accept questions during bid process from
furniture manufacturers and vendors, coordinate written response to
furniture questions such as floor plans/measurements etc
- Review furniture fee proposals, develop
comparative matrix with ranking and recommendations for furniture
- Work with Owner to prepare furniture contracts
- Coordinate furniture delivery and installation
with contracted firms
Equipment Specification Procurement:
- Work with Owner to establish optimal procedure
for selecting equipment
- Accept questions during bid process from
equipment manufacturers and vendors, coordinate written response to
equipment questions
- Review equipment fee proposals, develop
comparative matrix with ranking and recommendations for equipment
- Coordinate with the contractor for delivery and
installation of specific items
- Coordinate equipment lists
Snagging:
- Once the Certificate of Completion has been
issued, conduct an exterior and interior room by room snagging list.
- Compile the report of all faults and
rectifications necessary, and then send it to the client and contractor.
- The snagging team will be informed when they can
come to verify that all the defects listed have been rectified.
- The snagging inspector and contractor will sign
off on the snagging list once it has been completely rectified. This is
scanned and sent to all parties, including the client?s legal team, who
will complete the required legal documents and then send notice to the
client.
- On completion of the snagging process, villa
registration will follow, following which the villa will be handed over
to the client.
Close Out of Project:
- Review closeout documentation from contractor
- Check warranties, guarantees, and service
contracts
- Review shop drawings, cuts, and operating manual
files
- Review final pay request
- Assist in expediting final punch list/snagging
list
- Assist in obtaining certificate of occupancy
- Assist in establishing dates of Substantial and
Final Completion
- Assist in the purchase, delivery and installation
of furniture and equipment
- Assist the Owner with move-in
IMPORTANT NOTATION TO BE AGREED BY ALL
PARTIES
A lot of people misconstrue that project management
mainly deals with a person on the construction site walking around 24/7.
However as you can see from the above mentioned list, most of the very
important work goes on unseen and involves keeping paper trails present and
up to date and analysis of each and every stage.
For this to work Absolute Asia Pacific must have the
full support of all members of the employers team in general, everyone can
talk to everyone else, but the Project Manager must know about all
communications via minutes of a meeting or emails from the team members,
reporting the interaction.
The Project Manager must be thoroughly informed of
every aspect of the project, as the Project Manager is responsible for its
ultimate completion. Therefore, no decisions can be made without the Project
Manager's approval.
The Project Manager is the point person for the
project and questions and concerns should be directed to the Project
Manager. All emails, reports and minutes must be read and replied to either
with comments or just with confirmation of receipt.
